When the chairs are full and the phone keeps ringing

It is twenty to nine on a Monday. Your receptionist is checking in the first patients, a nurse is setting up surgery two, and the phone has rung four times since the doors opened: a weekend toothache, two people asking whether you take new NHS patients and someone moving a hygiene visit. A call answering service for dentists picks up the calls your desk cannot reach, in your practice name, so the queue at the counter and the queue on the line stop competing.

Onwards Answering works as an extension of your front desk, not a replacement for it. Our virtual receptionists are based in Scotland, work from home and answer for practices across England and Wales. You can divert every call, or only the ones that ring out or find the line engaged. Receptionists book appointments into your own calendar or onto Onwards' secure booking platform, and they never offer clinical advice: urgent calls follow your protocol, which is the principle behind all our call handling for healthcare practices.

Patients notice the difference between an engaged tone and a helpful voice. A practice that answers keeps the new private patient who would otherwise have rung the next surgery on the list, and the caller with a swollen jaw gets a clear next step set by your dentists. You can try the service free for two weeks, while the team gathers the questions your patients ask most and agrees the answers with you, before choosing a package from £72 per month.

The calls we take

The calls a dental practice takes every day

Most practices see the same six kinds of call, and each one gets its own instructions.

New patient registration enquiries

Callers want to know whether you are accepting NHS patients, private patients or both, and what joining involves. The receptionist answers from the position you have given us, takes the caller's name and contact details, then books a new patient examination or adds them to your waiting list, exactly as you ask.

Dental pain and emergency requests

Someone has a cracked tooth or a swollen face and wants to be seen. The receptionist does not assess symptoms or suggest painkillers. They ask only the questions written into your emergency protocol, then offer an emergency slot you have released, transfer the call to the practice or send an urgent message, as your rules say.

Cancellations and rebooking

A patient cannot make Thursday and wants another time. The receptionist cancels the slot, offers the alternatives in your diary and records the change in the call summary, so your team can fill the gap from a waiting list instead of finding an empty chair on the day.

Private treatment price questions

Callers ask what a private check-up, a hygiene visit or tooth whitening costs before they commit. The receptionist gives the prices you have approved, explains that a dentist confirms the right treatment at examination, and offers to book that examination while the caller is still keen.

Practice plan and membership queries

Existing patients ask how your practice plan works, what it covers or how to join. The receptionist explains the points you have written into the script and passes anything about a particular account, a missed payment or a change to someone's plan to your practice manager as a message.

Labs, suppliers and other practices

Not every call comes from a patient. Dental labs chasing a case, referral queries from other practices and supplier calls are taken with the details your team needs, then put through by warm transfer when you want them or sent as a message noting the caller, the reason and anything they need back.

How it works

How our call answering service for dentists works

  1. 1

    We learn your protocols

Before any calls arrive, we agree your greeting, your new patient rules, your emergency questions and who should hear about what. Nothing clinical is left to a receptionist's judgement.

  2. 2

    You choose when calls divert

Divert every call, or only the ones your front desk cannot reach, such as during the morning rush or while your own receptionist takes a lunch break.

  3. 3

    We answer as your practice

Patients hear your practice name and a calm, friendly voice. Bookings go into your diary, and urgent calls reach your team in the way your protocol sets out.

  4. 4

    Your team gets the summary

Each call ends with a written summary, delivered to you by email or SMS. The same messages are kept in the Connect app and portal for whoever on your team picks them up.

Context

NHS access, private demand and what it means for your phones

Getting NHS dental care has become harder for many patients, and that pressure lands on practice telephones. Healthwatch England research published in March 2026 found more people turning to private treatment because of problems getting NHS appointments, and the House of Commons Library has explained why some patients are offered private but not NHS appointments. For a practice, that means more calls from people ringing round, comparing options and asking questions your desk has answered many times already.

Those callers usually book with the first practice that gives them a clear answer. A receptionist ready to explain your NHS and private position, give approved prices and book an examination keeps that decision with you. Health information is special category data under UK GDPR, so it matters that Onwards acts as your data processor, handling patient details only on your instructions. Our article on GDPR and call answering services lists the questions worth asking.

Questions

Questions from dentists

Still unsure? Call the team on 0141 286 4220 and we will talk it through.

Will your receptionists give patients dental advice?

No. Receptionists never comment on symptoms, suggest medication or say whether something can wait. When a call sounds urgent, they ask the questions in your protocol and then transfer the call, offer an emergency slot you have released or send an urgent message, exactly as you have instructed. Every clinical decision stays with your dentists.

Can you tell callers whether we are taking on NHS patients?

Yes, as long as you keep us up to date. You tell us whether your NHS list is open, closed or limited to certain groups, and the receptionist explains that position plainly, mentions private options if you offer them and takes details for your waiting list. When your position changes, we change the script.

Can patients book straight into our diary?

Bookings can go straight into the calendar you already use, or onto the secure Onwards booking platform, which costs nothing extra. You decide which appointment types they may book, such as new patient examinations or hygiene visits, and which should reach the practice as a message instead. Read more about how a virtual receptionist books appointments.

What happens to calls when the practice is closed?

During business hours a receptionist answers live. Once you close, patients reach a voicemail on your practice number, which comes as part of your package without an added fee, so they can always leave a message. You decide what the greeting tells patients about your own out-of-hours arrangements, and you can update that wording whenever it changes.

We also offer facial aesthetics. Can you handle those enquiries too?

Yes. Plenty of practices run cosmetic treatments alongside general dentistry, and those callers want a different conversation about consultations, fees and discretion. We can write a separate section of your script for them. Our page on call answering for aesthetics clinics explains how we handle those calls.
